a scalable team management experience

project overview
As Suralink grew rapidly, onboarding more clients with increasingly complex team structures, the legacy Team Management page could no longer support the demands of our users. The outdated interface—built on collapsible department sections—was creating bottlenecks for administrators multifaceted teams. This project was an end-to-end redesign of the Team Management experience, introducing a scalable solution that empowered administrators to manage complex team structures with ease and precision.
Note: This project was part of a broader initiative to re-design Suralink’s legacy platform.

The Problem Space
With the increasing scale of client teams, the existing Team Management page was becoming a critical pain point for administrators. User interviews revealed that managing permissions and licenses was not only tedious but had, for some organizations, become a full-time role for several employees due to constant bugs and the lack of efficient sorting, filtering, and searching capabilities.
Research and Discovery
key research insights
For larger firms, routine tasks like assigning permissions or moving users between departments required hours due to cumbersome, nested interfaces. Administrators expressed frustration with the time lost to manual, repetitive actions.
The legacy system’s lack of filtering and sorting options meant users had to scroll and search extensively, creating a challenging experience that required them to remember user locations and roles within departments.
Users reported unclear license statuses—often unaware of available vs. assigned licenses. We identified this as an opportunity to guide purchasing decisions by introducing more transparent license visibility.
s firms grew, administrators found it increasingly challenging to keep track of team members’ specific permissions and roles across multiple departments. Many noted that they lacked an easy way to review all active permissions at once.
JTBD Framework Analysis
Applying the Jobs to be Done (JTBD) methodology, we focused on understanding what admins were ultimately “hiring” the Team Management page to accomplish. The core “job” here was, “Help me quickly and accurately manage permissions and licenses so I can keep my team’s workflow uninterrupted.” This analysis guided our approach, ensuring that every redesign element aligned with streamlining admin tasks and removing bottlenecks.

Visual Design and Usability

User Testing and Iteration
Throughout the development phase, we conducted three rounds of usability testing with a diverse group of Suralink admins. The tests focused on time-to-task completion, error rates in role assignments, and overall user satisfaction. Key findings included:
Reduction in Task Time
of users engaged with the homepage banner, interacting with featured product highlights as intended.
High Satisfaction
Users consistently reported that the new design felt intuitive and “much easier to manage at scale.”
These insights led to final refinements, including adding quick-access buttons for commonly used filters and allowing customization of table columns.

Outcomes and Impact
The redesigned Team Management page transformed how administrators managed complex team structures within Suralink, achieving impactful results:
By transitioning to the table-based design, sorting and filtering options, and bulk actions, admins saved considerable time in their daily operations, translating to cost savings and increased productivity.
Increased User Satisfaction and EngagementPost-launch feedback revealed a significant increase in user satisfaction, with many admins reporting that the new design "simplified the most tedious aspects of their work."
With the redesign, Suralink’s platform became better equipped to support clients with large and complex organizational structures. The project underscored Suralink’s value proposition as a scalable, adaptable solution that grows with its clients.
The license management enhancements provided transparency on license gaps and availability, allowing firms to make data-driven decisions about license purchases, ultimately supporting revenue growth for Suralink.
